When not to use Zoom: 15-minute huddles in a no-signup browser room

If setup is heavier than the agenda, use a no-signup browser room. Keep the enterprise suite for recording, PSTN, and large rooms.

Installing a client, hunting a calendar link, and waiting on a guest login wall often last longer than a 15-minute huddle. Heavy meeting suites are not the problem. Using them for the wrong length is.

People searching when not to use Zoom usually already have a company license. They do not want a full ceremony for a short alignment. Split the decision on checkable constraints: size, accounts, recording, browser.

Lightweight browser rooms are built as a small mesh. All-hands, webinars, and phone join stay on the enterprise suite.

Compliance recording or long retention

A closed temporary room is not an archive. Cloud recording, retention policy, or HR storage means stay on the suite.

Guests cannot install another app

Candidates, customers, and contractors only need a current browser. Asking them to install a client drops people before the talk starts.

The object is a diagram, not a slide read-through

Boxes, arrows, and blockers need shared edits. Opening a call and a second whiteboard is the usual time sink.

    Open the wbroom homepage. Use a custom ID or leave it blank. The creator is the admin session. No account.

    Share the room ID or QR

    Paste the ID in chat or let them scan. They join in Chrome, Edge, Safari, or Firefox. Steps: create and join a room.

    Standups write blockers. Interviews draw boxes. Local code gets one screen share. Headphones cut echo.

    Close when done; export if the picture matters

    Admin close frees seats. A board PNG is usually available for about 15 minutes, then gone. This is not a drive.

The license covers formal meetings. For a short alignment or an external guest who will not install a client, a no-signup room does not cancel the suite — it skips the calendar ritual.

Does the whiteboard stay online forever?

No. Rooms are temporary. After close, the image is usually downloadable for about 15 minutes by room ID, then deleted. Export before you leave if you need the picture.

Can we host a 100-person launch?

No. Each room holds at most eight people. Launches and all-hands stay on Zoom or a similar suite.
